Job Title: Procurement & Stores Assistant

1. Job Summary

Nkasiri Adventure Park is seeking a diligent and organized Procurement & Stores Assistant to manage the efficient acquisition, storage, and distribution of goods and materials essential for the park's smooth operation. This role is critical in ensuring that all departments, from guest services and F&B to maintenance and adventure activities, have the necessary supplies, equipment, and consumables readily available while maintaining cost-effectiveness, quality standards, and adherence to company policies and local regulations.

2. Key Responsibilities

A. Procurement Support Requisition Management: Receive, verify, and process purchase requisitions from various park departments (e.g., F&B, Adventure Activities, Maintenance, Accommodation, Office). Ensure requisitions are complete, accurately specify requirements, and have appropriate approvals.

Supplier Engagement: Assist in identifying potential suppliers, obtaining quotations, and comparing prices, quality, and delivery terms from multiple vendors in Kenya. Maintain positive relationships with existing suppliers and identify new, reliable sources. Communicate regularly with suppliers regarding order status, delivery schedules, and any discrepancies.

Order Processing: Prepare and issue purchase orders (POs) accurately and in a timely manner. Follow up on orders to ensure timely delivery and resolve any issues (e.g., delays, damages, incorrect items).

Market Research: Conduct basic market research to stay informed about commodity prices, new products, and supplier trends relevant to adventure park operations (e.g., F&B supplies, outdoor gear, maintenance materials).

Documentation: Maintain comprehensive and organized procurement records, including requisitions, quotations, purchase orders, delivery notes, and invoices, ensuring easy traceability.

B. Stores Management Inventory Control: Manage the receipt, storage, and issuance of all incoming goods and materials for the park. Conduct regular physical inventory counts and reconcile with stock records to ensure accuracy. Identify and report discrepancies, damages, or expired items immediately. Implement and maintain a proper labeling and shelving system for efficient storage and retrieval.

Receiving & Issuance: Inspect incoming deliveries against purchase orders and delivery notes for quantity, quality, and accuracy. Generate Goods Received Notes (GRNs) for all incoming supplies. Issue materials and supplies to authorized personnel from various departments upon approved requisitions. Maintain accurate records of all goods issued.

Stock Rotation & Loss Prevention: Implement First-In, First-Out (FIFO) principles, especially for perishable goods, to minimize spoilage and waste. Monitor stock levels to prevent stock-outs and overstocking, initiating reorder processes as needed. Implement measures to prevent theft, damage, or deterioration of stored items.

Cleanliness & Organization: Ensure the stores area is always clean, well-organized, secure, and adheres to health and safety standards. Safely handle and store hazardous materials, if any, according to regulations.

Reporting: Prepare regular stock reports, including consumption rates, low stock alerts, and expiry dates.

C. General Administration & Compliance Assist in processing supplier invoices and liaise with the finance department for timely payments. Ensure all procurement and stores activities comply with Nkasiri Adventure Park's policies, procedures, and ethical guidelines. Adhere to relevant Kenyan legal requirements and best practices for procurement and inventory management. Provide support to other departments as needed, particularly during peak seasons or large events.

3. Qualifications

Education: Diploma in Supply Chain Management, Procurement, Stores Management, Business Administration, Logistics, or a related field from a recognized institution. Professional certification (e.g., KISM, CIPS Level 1 or 2) is a strong advantage. Experience: Minimum of 1-2 years of progressive experience in procurement and/or stores management, preferably within the hospitality, tourism, adventure, or retail sectors in Kenya. Demonstrable experience with inventory management systems (manual or digital). Basic knowledge of adventure park specific supplies (e.g., safety gear, F&B consumables, maintenance spares) is a plus. Skills & Competencies: Organizational & Detail-Oriented: Exceptional organizational skills with meticulous attention to detail and accuracy in record-keeping and inventory management. Computer Proficiency: Proficient in Microsoft Office Suite, especially Excel for inventory tracking and reporting. Familiarity with basic accounting/ERP software is a plus. Communication: Excellent verbal and written communication skills in English and Kiswahili. Ability to communicate effectively with suppliers and internal departments. Problem-Solving: Proactive in identifying and resolving issues related to deliveries, stock discrepancies, or supplier performance. Integrity & Trustworthiness: High level of honesty, accountability, and ethical conduct. Physical Stamina: Ability to handle and move goods, which may involve some lifting (within safe limits). Team Player: Ability to work collaboratively within a dynamic park environment. Time Management: Ability to prioritize tasks and manage multiple responsibilities efficiently.
